VLUG Meeting Minutes

Regarding the next meeting on September 22, 1998:
It will be our first Annual General meeting, thus you will not be able to
vote at the meeting unless you have paid
your $20 membership fee. Bring money to the meeting!

Polo Shirts
- The shirts are done and ready and got handed out at the meeting. If you have ordered one
but weren't at the meeting, contact Andrew Willard cds@vlug.org
to arrange for delivery. They look mahvelous. We cheered for Andrew.
Money
- Andrew has $280 from CD sales, plus our current 'bank' balance is $130, from previous CD sales.
- Upcoming expense of about $52.50 for electricity to our booth at the Computer Show.
Canadian Linux Users Exchange (CLUE) www.teamlinux.org
- CLUE is organizing a cross-Canada InstallFest for September 26, 1998 starting at 10am
Victoria time. They will be doing some aggressive advertising, so we need every single person who thinks
they might be able to help in any capacity (including helping to carry stuff) to contact
Chris Halsall, InstallFest Victoria Coordinator, at chalsall@csp.net to let him know
you're interested in helping and we also need you to show up, of course.
- It will be taking place in Room 160 of the Student Computing Facility in Business and
Economics - Hooray and thanks to Gord McCague and UVic Computer User Services.
Victoria Computer Show (formerly
known as the VIEX Computer Show)
- We will have a booth there. If anyone has a monitor larger than 17", let me (CaroLyn,
caro@pinc.com) know. Big glass good...
- We may even have a chance to do a presentation in the presentation theatre - that is up in the
air at this point.
- Shaw has commited to providing us with free internet connectivity, which we will share with
the other user groups (we'll all be next to each other).
- We will need volunteers to staff the booth - let me know if you're up for that as well.
Comdex/Vancouver
- CLUE is getting a 10' x 20' booth at Comdex/Vancouver - we have been
invited to help staff the booth
- It will be approx Jan 8, 1999. Mark it on your schedules!
- VanLUG and Fraser Valley LUG will be there in addition to us and CLUE folks.
Hard drive space on Ladybug/vlug.org
- We are simply out of hdd space on our server - thus the search function has been turned off
until we get more space.
- CSP
have offered to cover us for a month's time, until we have
additional funds because of membership fees from our first AGM.
- Other options for buying a new hdd were discussed, we decided for simplicity's sake, we will
take CSP up on their offer.
- Chris MacLean will take care of acquiring the drive and installing it.
Membership Fees
- Last time we discussed it, we decided that subject to further discussion, an annual
membership fee of $20 would be appropriate.
- After much discussion, it was decided that we would stick with $20 and the implementation
(date of signup to date of signup renewal vs. prorating of fees for first year) would be left to the
incoming Board of Directors (hereafter refered to as BoD)
VLUG CDs
- Discussed some other options for CD based fundraising, including buying a whack of CDs from
Cheap Bytes, putting nice jewel cases on them and selling them. However, we decided to go with the old way
as we are able to put so much more of the errata on our homegrown CD than we'd see on a storebought CD.
- We are going to do a Red Hat 5.1 VLUG CD and try to have it ready for the Install Fest on
September 26.
- If you have a CD burner to spare and you want to volunteer a bit of time to the cause,
contact Chris MacLean at cmaclean@csp.net.
- Chris Halsall will be taking care of doing a nice colour insert for the jewel cases.
Then we took a break
AGM (remember that's an Annual General Meeting)
- It is going to be September 22, 1998. Be there.
- Discussed implications of becoming a society and the roles of the BoD.
- President chairs meetings and is often the first point of contact with the media.
Vice President is responsible for duties of President when President is unavailable for any reason.
The Treasurer is responsible for our books, bank account and preparing financial statements. The
Secretary is responsible for filing with the Registrar's office, keeping track of every member's address,
minutes of meetings and vote counting. Membership Director maintains the membership list according to the
bylaws.

All of the above tasks can be delegated to other people but the director is ultimately
responsible for ensure the duties are fullfilled.
- If you are interested in running for one of these positions, please announce it on the list
or be prepared to announce it at the AGM.
- We discussed voting processes for a long time.
- You cannot vote at the meeting unless you have paid your $20 membership
fee. Bring money to the meeting!
- WEAV (Web Enthusiasts Association of Victoria) apparently gets to send out their notification
of AGMs by email but we were told by the Registrar's office that we weren't allowed to do so. We will have to
look into this apparent inconsistency.
- It came up and was agreed that we would offer Linus Torvalds an
honourary lifetime membership in VLUG.
Nominations
- Andrew Willard put himself forward for Vice-Pres (Seconded by CaroLyn)
- Chris Halsall put himself forward for Pres (Seconded by CaroLyn)
- Mathew Skala put himself forward for Secretary (Seconded by Chris Halsall)
- Tom McVeigh put himself forward for Treasurer (Seconded by Chris MacLean)
- The position of Membership Director has no nominations yet.
- Anyone interested in running for a position are
encouraged to announce their interest on the e-mail list, and attend the
September AGM.
Next Meeting Presentation
- Deid Reimer is going to put together a presentation on how to be an
InstallFest volunteer
and participant (like what to bring to the IF if you want to get your machine built!)

Next meeting will be on the fourth Tuesday of September, which is going
to be September 22, 1998, our first AGM, with elections/
acclamations. Will likely be in the same location at UVic - Cornett B112
